New ML Schedules Approval Path Feature

As MasterLibrary has continuously added new features that address and bring resolution to the unique needs of school districts, our team was able to implement a brand new approval path feature for ML Schedules facility use request system.

In the past, approval paths in ML Schedules could be set up based on the building or space that an event was taking place at. As the discussions with customers, the team identified the need for these approval paths to also be based on the questions filled out on their request forms. Now, our customers will have the ability to set up additional approval paths related to fields answered on their request forms. This was a feature that was voted on most by our customers and we were able to make it a reality for them!

Use Case for this feature: One of the most popular responses we received on how this feature would be used was related to events that needed custodial staff for setup. With this new feature, if a requestor responds “Yes” to needing custodial staff for setup, then an additional user is added to the steps of approval within the system for the given event. Typically, we see the Facilities or Maintenance Director added as the additional approver in this case. Other times, we see the Head Custodian set up as that new approver.

This feature can be used for any “Yes or No” questions on a district’s request form. Other popular cases of this include the need of A/V Support, IT Setup and Food Services for a given event. In these instances, the administrator from the related department is then added as a step of approval. Our team has made it very simple for administrators to make Approval Path changes within ML Schedules, so this can be done with only a few clicks.

If a customer does want to take this a step further past simply approving the event and have a work order created for an event with setup requirement, ML Schedules has the ability to integrate with our work order management system, ML Work Orders. In this case, any event with setup needs would then have a work order automatically generated in ML Work Orders. This can be routed based on the type of setup or the location of the event itself.
